Commercial Access Control Door Schedule and RFQ Template

Commercial Access Control Door Schedule and RFQ Template

Quick Buyer Answer

An access-control quotation should start with a door schedule. For every controlled opening, record the door type, opening direction, lock, reader, exit device, door contact, emergency behavior, controller location, cable distance and software requirements. Counting only the number of doors is not enough for a reliable commercial system quotation.

Why a Door Schedule Prevents Quotation Errors

A commercial building may include glass doors, fire-rated doors, steel doors, automatic doors, vehicle gates and restricted technical rooms. These openings do not use the same locking and exit arrangement. A door schedule creates one shared reference for the buyer, installer, hardware supplier and software integrator.

Recommended Door Schedule Fields

For each door, include:

  • Door ID, floor and room
  • Single or double leaf
  • Material and frame type
  • Opening direction
  • Existing mechanical hardware
  • Required lock type
  • Entry reader and credential
  • Exit button, reader or mechanical egress
  • Door contact and alarm requirement
  • Fire-alarm or emergency input
  • Controller and power-supply location
  • Cable distance
  • Online/offline operating rule
  • Time schedule and access group
  • Integration notes

Match the Lock to the Door and Egress Plan

Magnetic locks, electric strikes, motor locks and other devices have different mounting, power and emergency considerations. The project team must consider door construction, local life-safety requirements and required fail-safe or fail-secure behavior. Final selection should be reviewed by the local responsible party.

Define Credentials and Identity Workflow

Specify RFID cards, mobile credentials, PIN, fingerprint, face recognition, QR visitor codes or combinations. Explain enrollment, visitor approval, lost credential handling and administrator roles. Privacy and biometric rules vary by country and organization.

Controller, Network and Software Architecture

State the total doors, sites, concurrent operators, server preference, network environment, reporting needs, language and integration requirements. Confirm whether the system must continue operating locally when the server or internet is unavailable.

Fire, BMS and Third-Party Integration

List required interfaces with fire alarm, building management, elevators, intercoms, turnstiles, parking or visitor systems. Exchange signal lists and interface responsibility before ordering. A statement such as “supports integration” is not enough without defining protocol, relay logic or API scope.

RFQ Submission Package

Send the completed door schedule, floor plan, photographs of representative doors, destination country, preferred credentials, server architecture, required integrations and project quantity. BAISEN ACCESS can then discuss a commercial access-control solution and equipment list.

Frequently Asked Questions

Can one controller manage every door type?

Controller capacity is only part of the design. Lock power, input/output requirements, cable distance and emergency logic must also be checked.

Do all doors need entry and exit readers?

No. The requirement depends on whether exit identification is needed. Some doors use free mechanical egress or an exit button, subject to the project rules.

What should be confirmed for biometric readers?

Confirm environment, user volume, enrollment process, privacy requirements, controller interface and fallback credential.
